Missouri Valley College (MVC) Student employment mission, policies, and procedures:

MVC’s Mission for the Student Employment Program, housed within the Office of Student Affairs, was articulated under the belief that educational advantages and increased knowledge are essential when accepting the obligation of a student employment position. As the College welcomes students from throughout the state, nation, and around the world, we understand the importance of challenging our students with new experiences and new levels of accountability to foster an all-encompassing career and professional learning environment. In the world, experience is affording an unmatchable leverage to landing a full-time position post-graduation. Making connections and building networks in the work environment is stressed and has measurable advantages.

  • FEDERAL WORK STUDY

    Federal Work-Study provides part-time jobs for Domestic undergraduate and graduate students with financial need, allowing them to earn money to help pay education expenses. The program encourages community service work and work related to the student’s course of study.

    Federal Work-Study Quick Facts:

    • It provides part-time employment for Domestic students enrolled in school.
    • It’s available to undergraduate, graduate, and professional students with financial need.
    • It’s available to full-time or part-time students.
    • International students are not eligible for Federal Work Study.

    Procedures for Students and supervisors to get hired in FWS, or MVC work study program(s):

    • Meet the requirements outlined by the FWS or MV work study program. Eligibility can be determined by the:
      • Manager of Student Work Study (Destiny Johnson) studentemployment@moval.edu 660.831.4451
      • Director of Student Work Program 
      • Director of Admissions & Financial Aid
    • Visit with the Manager of Student Work Study for each departments open position availability and to fill out appropriate paperwork required for the program. Office hours during the school year will be Monday Noon to 7pm and Tuesday through Friday 9:00am to 4:30pm for the student work program office. The office will be closed for enrollment days, check in days and holidays as outlined in the MVC Staff Calendar. During fall check-ins the office will have a station set up to answer questions and provide paperwork needed to begin the process of getting hired.
      • Required paperwork includes:
        • Appendix 2 I-9 Employment Eligibility Verification
        • Appendix 3 W-4 Employee’s Withholding Certificate
        • Appendix 4 Payroll Authorization Agreement
        • Appendix 5 FERPA Non-Disclosure Agreement
        • Appendix 6 Automatic Payroll Deduction Form (Optional)
      • Meet with the supervisor of the work study open position, interview and once that supervisor indicates that they would like to hire you as a work study, then a Student Employment Contract (Appendix 8), along with a Family Educational Right and Privacy Act (FERPA) Non-Disclosure Agreement (Appendix 5) will be processed for you and the supervisor to sign for the school year. 
        • The supervisor or designated representative should email studentemployment@moval.edu, or call (4451) the Manager of work study with the intent to hire the student and provide the following:
          • Name:
          • Student ID#:
          • Department: e.g., Athletics
          • Division: e.g., Women’s Lacrosse
      • Your completed contract and all applicable paperwork will be processed by the Manager of Student Work Study through HR. Once this task is completed and only after are you eligible to begin work. 
      • Begin work outlined in the work study contract in accordance with student employment supervisor’s schedule.
      • Supervisors will need to begin tracking hours either via the MVC time clock (preferred method), or by using the Missouri Valley TIME SHEET FORM (Appendix 1).
      • Pay periods for students in the work study program is the 16th of the start month to the 15th of the end month. The payday will be the 25th of the month.  Time sheets are DUE No Later Than (NLT) Close of Business (COB) the first business day after the last work day of the pay period. This is to ensure payroll can get the students paid by the 25th. Note: The pay will be directly deposited to the Financial Institution indicated on the Payroll Authorization Agreement on the 25th and dispersed per that Institutions policy.
  • MVC WORK STUDY

    MVC Work-Study Quick Facts:

    • Similar to the Federal work study program MVC work study provides part-time employment for Domestic students while enrolled as a full-time student at MVC. 
    • There are no positions under the MVC Work-Study that fits the criteria for international students under the Student and Exchange Visitor Program (SEVP) U.S. Immigrations and Customs Enforcement (ICE) other than Fresh Ideas.

    Procedures for Students and supervisors to get hired in FWS, or MVC work study program(s):

    • Meet the requirements outlined by the FWS or MV work study program. Eligibility can be determined by the:

  • STUDENT EMPLOYEES

    Limited to fresh Ideas and students with specific skills (e.g., Assistants for Information Technologies Service (ITS), and Academic Coaches in the Murrell Library and Academic Support Center). This includes SUMMER EMPLOYMENT: Limited to students in possessions of specific skills related to a department (e.g., Crew working for Grounds, Maintenance, Housekeeping….).

    Steps for international student for Fresh Ideas:

    • Visit the international office to verify your status allows you to work whilst in the United States. The International office is located on the 1st floor of the Ferguson center.
    • Then, you must obtain a Hiring Authorization (in writing) from fresh Ideas.
    • YOU CANNOT WORK UNLESS AND UNTIL YOU HAVE A SOCIAL SECURITY CARD
    • If you already have a Social Security number – Take the Authorization form to the HR Manager, Mrs. Christi Hicks to receive your employment paperwork, or
    • If you do not have a Social Security number – Take the Authorization form to Yesenia Farfan in the International Office to obtain your Student Status Letter.
    • Then – take the Authorization form and the Student Status Letter to the HR Office to obtain an Employment Letter.
    • You will need to take the Student Status letter, and the Employment Letter, along with your passport, I-94 printout and I-20, to the Social Security Office in Sedalia to apply for a Social Security number. (You can find the Application for a Social Security number online at SSA.gov). If approved, your social security card will be delivered to you by mail, generally within 10-14 days. 
    • Once you have been to the Social Security Office, you can begin working as you wait for your actual card. 
      • Note: we cannot pay you until you receive the actual card. Bring the confirmation letter that the SSA will give you back to the HR Office.
    • After you receive your Social Security card in the mail, return to the HR Office to receive your employment paperwork.
      • Your Employment paperwork will consist of: 
        • Application, W-4 (for income tax), 
        • I-9 form, Direct Deposit Authorization (all payroll is by direct deposit and must be a US bank), and 
        • Email Agreement
    • Complete the employment paperwork and return it to Mrs. Hicks.
      • You will also need to provide:
        • Passport 
        • Social Security Card
        • I-94 Printout
  • GRADUATE ASSISTANTSHIPS

    Program Overview & Goals: The GA program at MVC aims to provide graduate students with opportunities to develop professional skills in their relevant fields by their involvement in, and contribution to, MVC departments, offices, & activities.

    Graduate Assistants work in various roles and offices at Valley, including athletics, student life, and administrative offices. GA positions may include tuition remission/payment, and room & board, depending on the position. Students with assistantships and/or part-time work on campus cannot hold an appointment above a .74 FTE (28 hours/week). During the academic year, students on visas are restricted to .50 FTE (20 hours/week).

    To be eligible for a Graduate Assistantship, a student must meet the following requirements:

    • Completion of a Bachelor’s degree before the start of the assistantship
    • Acceptance into an applied graduate program
    • Have a minimum of a 2.5 undergraduate GPA, or 3.0 if any graduate work has been completed prior to being hired
    • All international students wishing to work must have a Social Security number.

    Graduate Assistantship information:

    • Available GA positions will be posted on the MVC career opportunities page.
    • General Assistantship applications can be found on the GA website at Graduate Assistant Application.
    • When appointments are being considered, applicants who fill out the Graduate Assistant Application the information provided will be shared with potential supervisors who will then be in contact with applicants.
    • Once an applicant is offered and accepts a GA position, a Graduate Assistant Work Agreement (Appendix 9) will be created and outline the following terms:
      • Appointment (full-time or part-time and specific hours)
      • Work dates: Fall/Spring/Summer (if the GA wishes to take summer classes, they are still required to work the hours during the period to continue to receive their “MVC GRADUATE ASSISTANT GRANT.” If the supervisor is unable to supervise the Graduate assistant, they may complete their required weekly hours with Student Affairs, or with operations during the campus reset and preparation for the fall semester.
      • Benefits available for GA’s:
        • Tuition (capped at $9,000 per year at institutions other than MVC) and/or,
        • MVC housing and/or
        • Meals.
          • Note: if the GA does not wish to reside in MVC housing and/or use the campus dining facility they are not able to receive payment for benefits not taken.

    DIRECTIONS (page one of the Graduate Assistant Work Agreement): 

    • When a GA position is offered and accepted, the supervisor/s and GA should work together to complete this agreement 
    • Supervisor/s – make a copy of this work agreement and share it with your GA and the GA – will complete sections I & II
    • Supervisor/s – fill out section III and final page outlining description, duties, and professional skills
    • Once all information has been entered, the agreement should be electronically signed by the GA and the supervisor. 
    • Then, please share the doc with Debi Bultmann GA Coordinator, Athletics, or Jennifer Livengood Offices and Schools (O&S) and Mike Elam (Director of Student Employment)
    • Once the agreement is electronically signed by all parties, please transfer ownership of the document to Mike Elam. Once in the doc, click “share” then click on the drop-down by Mike’s name, and select “transfer ownership”
    • Agreements will be signed electronically by the Graduate Assistant, GA Supervisor, O&S GA Coordinator, or Athletics GA Coordinator and the Director of Student Employment and kept with the Director of Student Employment. Any changes to these must be approved and signed off on by all parties.
    • Contracts are for no more than one calendar year; however, the “renewed for Following Year (Same Terms)” box can be ticked and all parties will need to sign again for a 1yr extension.

    Steps to getting hired:

    • Meet the requirements outlined below:
      • Completion of a Bachelor’s degree before the start of the assistantship,
      • Acceptance into an applied graduate program and
      • Have a minimum of a 2.5 undergraduate GPA, or 3.0 if graduate work has been completed.
    • If attending MVC you must have progressed through the enrollment process and have been moved to student.
    • Submit a resume directly to an open position supervisor, or complete Graduate Assistant Application to go into the general applicant pool.
    • International students wishing to work will visit the International Office to verify their status allows them to work.
    • Interview for the position if contacted.
    • If receiving either Room and/or Board as a benefit of the Assistantship you will be required to fill out a housing application which requires a MVC Student Identification number.
    • Meet with supervisor of the GA position, interview and sign the Graduate Assistant Work Agreement.
    • Supervisors, or departmental POC’s must then go on to the Missouri Application Launcher, under Human Resources and fill out the MVC New Hire Information document that alerts HR of the new hire.
    • Newly hired GA’s must then visit Mrs. Christi Hicks, Human Resources Manager Ferguson Center, Second Floor for onboarding. Then and only then are the Graduate Assistants able to begin work.
    • Begin work outlined in the Graduate Assistant Work Agreement in accordance with student employment supervisor’s schedule.
  • STUDENT RESIDENTIAL ASSISTANTS

    Students enrolled in bona fide educational programs who are residential assistants and receive reduced room or board charges or tuition credits are not generally considered employees under the Fair Labor Standards Act (FLSA). They therefore are not entitled to minimum wages and overtime under the FLSA.

  • INTERNSHIPS

    MVC recognizes the importance of Internships. Internships provide experience outside of MVC that is often lacking in classrooms and textbooks: the value of practical experience is second to none. This can be conveyed, to some degree with class projects, case studies, and clinical observations, however being plunged into up-tempo work environment students are given real world experience. 

    Employers can use internships as a recruitment opportunity, with little to no cost. Businesses can see talent and influence a new cohort of employees. If companies are satisfied with the intern’s performance, employers can make a commitment, expediting the recruitment, hiring, and onboarding procedures.

     MVC acknowledges the many Benefits of Internships and how this provides a well-rounded holistic approach to education with a graduate more prepared for the workforce.  

    Internships assist students to:

    • Apply Academic Knowledge in the workplace:
      • Students will find it easier to apply newly learned concepts from the classroom to the job. 
      • Allowing the student to apply new information prior to the Scholastic knowledge diminishing.
    • Expand on Transferrable Skills:
      • Students have opportunities to practice skill in a work environment and to identify the differences between academic and business communication and operations.
    • Develop Professional Connections and make new friends:
      • Allows for networking
      • The work could conceivably go beyond the workplace, providing long-lasting friendships.
    • Boost Resume:
      • Allows for the student to create an essential item for their resume.
      • The true value of an internship is best substantiated by the annual Job Outlook survey from the National Association of Colleges and Employers (NACE). “In the 2024 survey, respondents cited internship experience as the most influential factor worth examining while making tough hiring decisions. This applies to both internships within the hiring organization and those completed elsewhere.”
    • Direct Job Offers Are More Likely:
      • Not all internships will lead directly to jobs, but this remains a strong likelihood. Data from NACE “reveal that nearly eight in ten employers extend job offers to their interns. The acceptance rate is even higher: an impressive 83.1 percent.”
    • Better Job Stability: 
      • NACE references a one-year retention rate of 67.75 percent. With that being said, outside hires have a retention rate of nearly 50 percent when they have completed internships prior to scoring full-time jobs, compared to 35.7% retention rate for those with no internship experience.
    • Refine Career Goals:
      • Allows for a student to experience the job first hand and refine their expectations or even change course prior to entering the work force.
    • Build Confidence:
      • An internship is an opportunity to be exposed to different personalities, situations and environments. 

    Internships are offered in most Associates, Baccalaureate and Masters programs at MVC and are requirements for many. If there is any way the department can assist student seeking out said internships that might be available on campus, please feel free to stop by the office and inquire. There are also opportunities for internships throughout athletics, contact the athletic department for more information on those positions. Understandably, there are areas here that we will not have the knowledge, or contacts to assist (e.g., Nursing and student teaching), although we will definitely be able to point you in the right direction.
